Sharing and Access Levels

You can share your uploaded files and folders with other users on the site.

Share a file/folder:
– Open the file/folder that you want to share with other users.
– You can also bulk select the files and folders.
– Click on Share button from the toolbar or sidebar (user plus icon next to Who has access text) which will open a popup.

If you are an admin user or have enabled “role based sharing for all users”, you will see 3 options.

Single User – To share with a single user entering his/her email address or username.
Users with Role – To share with users that have a specific role like subscriber, author etc. (supports custom roles too).
All Users – To share with all users registered on the site.

Select one of the above 3 options. There are 2 access levels when sharing a file and 3 levels when sharing a folder. Select one of the options below.

View Only Access – To allow the users to be able to only view the file or content of a folder, download and add a comment.
View and Upload – This applies to folders only and not files. It will allow the users to view the content of a folder and upload to that folder.
Full Access – To give users full control to view, rename, share, delete etc. access to the files, folders and content inside the folder. It also enables the users to create folders and upload files to the shared folder.

Click the Allow Access button.

The popup will close on success. You can see the added users on the right sidebar with their access level to the folder/file.

To remove the access from a shared file/folder, click on the remove icon (next to the username or role) on the right sidebar.

Note: You can also copy the link to the file/folder from the sharing popup and send the link to users registered on your site. When they login and paste this link in their browser, it will automatically open that folder/file.
